Privacy Policy

This Privacy Policy explains how AwardTrueUp handles information when you visit this website, use the preliminary screening tool, or communicate with us about a potential review.

Effective date: October 2026
Last updated: October 2026

About this policy

This policy applies to information collected through the AwardTrueUp website, the browser-based contract-check tool, and related voluntary communications concerning a review or potential engagement.

It does not describe the handling of records submitted through any future secure analysis-intake workflow unless that workflow is expressly covered by this policy or a supplemental notice provided at the time of collection.

In this policy, “AwardTrueUp,” “we,” “us,” and “our” refer to AwardTrueUp.

Information you provide

The public contract-check tool runs locally in your web browser and does not transmit your questionnaire answers or personal data to our servers. Personal information is collected only when you choose to provide it directly (such as by emailing our review team) or in connection with a separately agreed engagement.

Voluntary correspondence
Name, email address, company name, and message details when you email us directly.
Contract review context
Contract identifiers, agency context, wage determination details, or other parameters you voluntarily choose to share in email communications.
Separately agreed engagement records
If a formal recovery analysis proceeds under a separate written agreement, specific contract and accounting records requested for that review.

The public website and screening tool do not accept payroll files, employee-level supporting documents, Social Security numbers, banking information, or document uploads.

Please do not send unredacted employee Social Security numbers or sensitive personal records via unencrypted email.

Website and operational information

When you use the website, limited technical and usage information may be processed to operate, secure, and understand the site. This can include page activity and basic browser or device information depending on the services involved.

Our website analytics implementation is designed so that contract identifiers, company names, form answers, names, and email addresses are not sent as analytics properties.

The public website operates without customer user accounts, without online payment processing, and without server-side database storage of preliminary contract checks.

How we use your information

  • determine what type of review may be appropriate
  • understand the reported contract and adjustment context
  • communicate with you about the requested review
  • scope a potential engagement
  • operate, troubleshoot, and protect the website and contract-check service
  • maintain business and accounting records where appropriate
  • comply with applicable legal or regulatory obligations

Information submitted through voluntary email inquiry is preliminary customer-reported context. It is not automatically treated as a verified contract fact, eligibility determination, or recovery calculation.

If a full analysis proceeds

A full price-adjustment analysis may require contract documents, wage determinations, payroll or labor records, fringe support, or other evidence.

Those records are not requested through the initial public website. If a full analysis proceeds, we will identify the records needed for the specific case and provide a separate secure method for submitting them.

We aim to request only information that is relevant to the analysis. Where practical, unrelated sensitive information should be removed before records are provided.

A Mutual Non-Disclosure Agreement (NDA) is available before exchanging sensitive payroll or tax records. Any paid review or consulting engagement is governed by the jurisdiction, confidentiality arrangements, and terms in the signed client engagement agreement.

Service providers and other disclosures

We do not use submitted contract-check information as an advertising product or sell it to data brokers.

We may provide information to service providers that support the operation of the business, such as cloud hosting, email delivery, website analytics, security, professional services, or other infrastructure providers. These providers receive information only as needed to perform their services.

We may also disclose information where reasonably necessary to comply with law, respond to valid legal process, protect the rights or security of AwardTrueUp or others, investigate misuse, or address a dispute.

Information may also be shared with professional advisers or service providers involved in an engagement where appropriate and subject to the applicable engagement arrangements.

Cloud and communication services

The website is hosted on managed cloud infrastructure, including Amazon Web Services and CloudFront, to securely deliver static web assets.

Preliminary contract check answers and optional cost illustrations are evaluated entirely within your browser and are not transmitted to or stored in cloud databases. If you choose to send a review request, only the message you send through your email client is shared with us.

If you contact us by email, messages are processed through our email service provider to support operational review.

Website analytics

We use limited website analytics to understand how public pages and calls to action are used.

Contract-check details—including company name, contract information, form answers, contact name, and email—are not sent as analytics properties.

How long we keep information

Retention depends on the type of information and why it is needed. We do not retain every category for the same period.

Retention schedule by category: preliminary contract checks, raw payroll evidence, final work product, and accounting records
CategoryPeriodDescription
Preliminary contract checksIn-memory only (browser session)Preliminary contract-check answers are evaluated in your browser and are cleared when you navigate away or reset the questionnaire. Answers are not stored on our servers.
Raw payroll and employee-level evidence180 days after case closureIf a future analysis workflow collects sensitive source records such as payroll or employee-level evidence, those records are generally scheduled for deletion 180 days after the engagement is closed unless they remain reasonably necessary for active follow-up or another permitted retention reason applies.
Final work productUp to 3 years after case closureFinal calculations, evidence indexes, analysis narratives, review findings, and limited case history may be retained for up to three years after case closure for continuity, support, dispute handling, and related business purposes.
Accounting recordsUp to 7 yearsInvoices and accounting records may be retained for up to seven years where reasonably required for financial, tax, or recordkeeping purposes.

Case closure

Case closure generally means the engagement is complete, the final analysis has been delivered, and no active follow-up work is underway.

Recovery copies

When information is deleted from active systems, residual copies may remain temporarily in managed backups or point-in-time recovery systems until those copies expire through their normal retention cycle.

Exceptions

Retention may be extended where reasonably necessary for an active engagement, legal or accounting obligation, dispute, security investigation, preservation requirement, or other legitimate business need.

Your choices and requests

You may contact us to request access to, correction of, or deletion of personal information associated with you.

We will evaluate requests based on the information involved, the nature of our relationship with you, and applicable legal requirements.

Some information may need to be retained where reasonably necessary for an active engagement, accounting or legal obligations, security purposes, dispute resolution, preservation requirements, or other legitimate business needs.

Our deletion of records does not alter a contractor's own contractual, statutory, accounting, or Government record-retention obligations.

Email communications

If you contact our review team by email to ask us to review a potential matter, we may email you about that request and related next steps.

If we send separate marketing communications, you may ask us to stop sending those communications. Requests to stop marketing do not prevent us from sending necessary service, transaction, security, or engagement-related communications.

How we approach security

We use technical and operational measures intended to reduce unnecessary collection and protect information appropriate to the nature of the service.

No internet transmission or storage system can be guaranteed to be completely secure.

Where information may be processed

Our service providers and business operations may process information in the United States or other jurisdictions where we or our service providers operate.

Where applicable law requires particular safeguards for cross-border processing, we will handle those obligations as required.

Children's information

This service is intended for businesses and professionals, not children. We do not knowingly seek personal information from children through the contract-check workflow.

Changes to this policy

We may update this Privacy Policy as the service, data-handling practices, or legal requirements change.

When we make material changes, we will update the “Last updated” date above and provide additional notice where appropriate.
